Use Case

Standardized reference data maintenance for individual banking processes

BOI FreeDa in practice

Challenge

A bank uses extensive master, control, reference, and parameter data — collectively referred to as business-critical data — to control critical business processes. This data is used for various purposes, including:

  • regular evaluation jobs,
  • fee control for accounts or
  • automated document printing.

The underlying business applications run regularly — sometimes hourly — and are essential for monitoring, controlling, and complying with regulatory requirements. Despite their critical role, there is still a lack of a central, audit-proof solution for maintaining business- critical data. This is especially true for departments without database knowledge.

Goals

  • Audit-proof editing of business-critical data in accordance with legal requirements
  • Operating departments edit data intuitively, without requiring database knowledge
  • Standardized data maintenance in all environments for the deployment of business applications (e.g., development, testing, production)
  • Avoiding custom tools or manually maintained MS Excel files

Solution

BOI FreeDa introduces centrally controlled, easily configurable standard software for maintaining business-critical data – audit-proof, user-friendly, and compatible with existing mainframe environments.

Uniform database – single source of truth

Business-critical data is stored centrally in one or more relational databases (e.g., on a mainframe in a Db2 database). Thanks to BOI FreeDa‘s multi-client capability, different deployment environments can be maintained within a single solution transparently, consistently and traceably.

Audit-proof web interface for operating departments
Operating departments edit the tables directly via the BOI FreeDa web application – without any technical knowledge, but completely audit-proof:

  • Maintenance processes with 2-, 4 or 6- eyes principle
  • Error prevention through parent-child relationships – only permitted values can be entered
  • Complete change logging including archived data states
  • Maintenance processes are controlled via defined roles and authorizations

Benefit

BOI FreeDa enables standardized and audit-proof data maintenance for critical banking
processes – even in mainframe and legacy environments.

Advantages at a glance

  • Outsourcing data maintenance to operating departments and minimizing the workload in the IT department
  • Reduction of potential errors through clear check mechanisms
  • Avoidance of custom developments thanks to configurable standard software
  • Optimization of IT resources while ensuring governance and compliance
  • Long-term maintainability and scalability through BOI support

With BOI FreeDa, you can edit your critical data as easily as you would in MS Excel, and as securely as a database expert.

Automatic execution

The IT department configures data maintenance via roles and authorizations. BOI FreeDa supports authentication via external systems and single sign-on is possible. Operating departments can easily and securely maintain business-critical data without needing database knowledge.

Data maintenance takes place directly in the environments „development“, „test“ and „production“ on the mainframe, in accordance with the maintenance processes defined by the IT department. The customer’s business applications access the development and test environments during testing, and the production environment after go-live.

For those interested in the technical details

  • BOI FreeDa is installed on-premises or in the cloud at the customer‘s site
  • Business-critical data is stored in relational databases of your choice, including on the mainframe
  • Databases are connected via JDBC, tables are registered once
  • Data is stored temporarily in BOI FreeDa and activated in the source database only after final approval
  • Data maintenance is performed directly in multiple deployment environments (development, testing, production)
  • Maintenance by approximately 50 users from several operating departments
  • Maintenance of several hundred tables via a central web interface
  • Integration with OpenID Connect or use of BOI‘s own role and authorization system
  • Automated processes are supported via the BOI FreeDa REST API and scripting functions
