Cloud modernization of a complex enterprise solution for maintaining critical (master) data

BOI FreeDa in practice

Challenge

A leading European vehicle manufacturer uses a mainframe solution developed in-house to control the entire production process – from development through configuration and production to sales. At the heart of this solution is a complex master data maintenance system comprising several hundred tables, complex data models, hierarchical logic, and an extensive set of PL/I rules.

Several hundred users across Europe work with this system, which had high data complexity and increasing maintenance costs. The modernization and cloud migration are aimed to significantly reduce the need for custom development.

Goals

The goal is the introduction of a scalable standard software for master data maintenance
in the cloud that will

  • enable parallel use by up to 100 simultaneous users,
  • handles large volumes of data and tables efficiently,
  • implements complex data models, validation rules, and audit compliance via configuration instead of programming,
  • and can be flexibly integrated into existing business processes.

Automatic Execution

The IT department uses table processes, roles, and authorizations to configure data maintenance, also using external systems. Employees from the operating departments edit existing data records via the BOI FreeDa online interface without needing database knowledge, based on the defined table maintenance processes. Data changes are only activated in the databases once the table maintenance processes in BOI FreeDa are complete.

Creation of new master data: New master data (e.g., new vehicle parts) is recorded in the upstream processes. This new data must be enriched with additional information from the operating departments before being transferred to the databases. This data is transmitted in various formats (e.g., CSV, XLSX) from the customer’s control system to BOI FreeDa via a REST API.

BOI FreeDa then transfers this data to the correct table based on rules and processes and completes it with the operating department in a secure workflow with full logging. BOI FreeDa‘s logical checks ensure the accuracy of the entries. Once the table maintenance process is complete, the control program is notified, and the entire data record is exported via a BOI FreeDa REST interface. The data is then passed to downstream processes.
